KWASU Clearance and Registration for New Students: Documents and Steps
Just got admission into KWASU? Here are the documents to carry for clearance and the steps that follow, so nothing delays your registration.
You've got your admission, and now there's clearance: what to carry, who to see, and what happens if something is missing. It's better to know before the day than to find out in the queue.
This is the process students usually describe. KWASU announces dates, fees and requirements each session, and we couldn't find the new-student checklist on an official page, so confirm everything on the portal and in the official notices. Never pay anyone outside the official channels.
You also have to pass the screening first. If you haven't, read how KWASU post-UTME and admission screening works.
What clearance means
Clearance is when the school checks that your documents are genuine and that you really qualify for the admission you were given. Until you are cleared, your admission is only provisional.
Documents to prepare
Prepare original copies and one set of photocopies for each, and arrange them in the order below. Students commonly report the following list:
- Verification or personal data form
- Acceptance fee receipt
- UTME result
- Post-UTME result
- O'level result (WAEC, NECO or equivalent)
- For Direct Entry candidates: diploma result and other entry documents
- Birth certificate (an age declaration is often accepted instead)
- JAMB admission letter
- Any other document you used during your post-UTME registration
Keep a soft copy of each on your phone too, because you will probably need to upload them on the portal. Check the official notice for the exact list for your session.
Step-by-step process
- Pay the acceptance fee. Use the official KWASU portal and keep your receipt.
- Wait for the clearance notice. The school announces the dates and venue. Do not rely on rumours from group chats.
- Go for physical clearance. Present your documents in person to the registration officer.
- Upload your documents on the portal as instructed.
- Continue with the other registrations. These usually include course registration, hostel application if you need it, and payment of faculty or departmental dues.
Mistakes that can cost you your admission
- Forged or altered documents. This can lead to your admission being withdrawn.
- Missing results. Make sure your O'level result meets the requirement for your course.
- Name mismatch. Your name must be the same on JAMB, O'level and your birth documents. Fix errors early.
- Missing the deadline. If you do not show up for clearance by the deadline, you risk losing your slot.
- Paying through unofficial people. Use only the official portal.
- Not keeping receipts. You will need them throughout your stay.
Once you're cleared
Register your courses before the deadline, then sort out your accommodation. If you forget a course, here's what to do. The freshers survival guide and the list of things to take to university will save you some stress.
Your first semester also sets the tone for your final result, so learn how the KWASU grading system works now and track your GPA with the MonoEd GPA tools. SIWES and your project are a while away, but when you get there you'll find the KWASU SIWES logbook guide and the KWASU project format waiting.
Frequently Asked Questions (FAQs)
What documents do I need for KWASU clearance?
Students commonly report: your verification form, acceptance fee receipt, UTME result, post-UTME result, O'Level result, birth certificate or age declaration, and your JAMB admission letter. Direct Entry candidates also bring their diploma result. Carry the originals and photocopies.
Is clearance physical or online?
Reports describe both. You present your documents in person and also upload them on the portal. Follow the notice for your session.
What if I'm missing a document?
Tell the registration officer straight away. Some documents have accepted alternatives, for example an age declaration instead of a birth certificate, but ask before you assume.
What happens if I miss the clearance date?
You risk losing your place. If you have a genuine reason, report to the admissions office early with proof.
How much is the acceptance fee?
It changes each session, so check the portal for the current amount. Old figures on blogs aren't reliable.
Can my admission be withdrawn after clearance?
Yes, if the school later finds that a document is false or that you didn't meet the entry requirements.
Where do I ask questions about clearance?
Contact the admissions office or the Registry through official channels, and follow announcements on the official KWASU website.
