KWASU Final Year Clearance: Portal Steps, Senate List and Convocation
Final year at KWASU? See how clearance works on the portal, what to do if you are flagged, and what comes next: senate list, NYSC and convocation.
Final year is busy enough without wondering about clearance, the senate list, NYSC and convocation. This post puts them in order, so you know what comes next.
The clearance steps come from a KWASU Registrar's circular for the 2024/2025 class, so your set's details and deadline may differ. Always check the portal and the official notices.
The usual order of things in final year
- Finish and submit your project
- Clear any carry-overs and missing results
- Do your final year clearance on the portal
- Results are approved by Senate
- Your name appears on the graduating list sent to NYSC
- NYSC mobilisation
- Convocation
Let us go through each one.
1. Finish your project on time
Your project is the biggest thing standing between you and graduation. Start early, meet your supervisor often and follow your department's format.
- KWASU project format: Chapters 1 to 5
- How to choose a project topic
- Final year project defence questions and answers
2. Clear your SIWES, carry-overs and missing results
Before you graduate, your records must be complete. That means:
- A SIWES grade, if your programme requires SIWES (see the KWASU SIWES report format)
- No outstanding carry-overs
- No missing or incomplete results
Check your results on the student portal at the start of final year, not at the end. If something is wrong, you want time to fix it.
3. Final year clearance on the portal
KWASU runs final year clearance online at clearance.kwasu.edu.ng and through the student portal. You log in with your matric number.
Here are the steps from the 2024/2025 Registrar's circular:
- Log in to the student portal.
- Select "Final Screening" from the menu.
- Verify your O'Level result. Choose the correct exam type (WAEC, NECO or NABTEB) and enter your details exactly as on your result.
- Complete the Student Clearance section. It covers:
- A'Level or JAMB verification, depending on how you entered
- State of origin verification (JAMB or NIN records)
- Payment verification, which confirms that all your fees are paid
- Upload your documents if you are a Direct Entry student. Diploma, IJMB, JUPEB, HND or other entry documents are required for DE students only.
What "Cleared" means
When all verifications pass, the portal shows "Cleared". You can track each check online.
What if you are flagged?
If a unit, department or office flags your record, the portal points you to the area with the problem. You must report in person to solve it. Do not leave it for the last day. Common causes are name mismatches, unpaid fees and missing entry records.
The deadline
For the 2024/2025 set, students who had not started were told to go to the CIITR Unit on or before Friday, 1 August 2025. Your own deadline will be different, so watch the portal and the Registrar's notices closely.
Tips
- Use your names exactly as they appear on your JAMB and O'Level records.
- Keep all your fee receipts. Payment verification can fail if a payment did not reflect.
- Start as soon as the portal opens.
4. Senate approval of results
After results are finalised, the university Senate approves the results of graduating students. You do not do anything here, but your earlier steps (project, clearance, no carry-overs) decide whether your name is included.
5. The graduating list and NYSC
After approval, the school sends the list of graduating students to NYSC. Your name must be on it before you can be mobilised. If it is missing, report it to your department and the Registry straight away. See our guide on how to check the NYSC senate list.
Note: the "Senate Members" page on the KWASU website lists the people who sit on the Senate. It is not the list of graduating students that NYSC uses.
6. NYSC mobilisation
Once your name is on the list, you register on the NYSC portal. Read our complete guide: NYSC complete guide: registration and camp checklist. Also check the NYSC age limit and the documents required for camp.
Use your names exactly as they appear on your school documents. Name mismatches cause serious delays at NYSC.
7. Convocation
KWASU holds its convocation once a year. The 13th Convocation week ran from 9 December 2025, with the award of undergraduate and postgraduate degrees on Saturday, 13 December 2025 at the AbdulRasheed Na'Allah Performing Arts Building, Malete. The 12th was on Saturday, 14 December 2024.
Reports on the 13th Convocation mention graduand charges of about ₦35,000 for undergraduates, covering the gown, certificate scroll and alumni fees, with a late gown fine of ₦500 per day. We could not confirm these amounts on an official KWASU page, so treat them as a rough guide only. Check the convocation notice on kwasu.edu.ng and ask the university relations office ([email protected]) before you pay anything. Pay only through official channels.
Certificates are normally released after the ceremony, on proof of payment and your clearance. Many students complete NYSC before their certificate is ready, so keep your result statement safe.
